Auditable key control for stores, warehouses and industrial sites

Keys open the stockroom, the safe, the plant room and the forklift. In retail and industrial operations, they change hands every shift, often between people who’ve only just started. KeyWatcher’s retail and industrial key management system locks keys in electronic cabinets, releases them only to authorised staff, and records every removal and return. You always know who has which key, when they took it, and how long they’ve had it.

Retail and industrial teams face different risks, so this page covers each separately.

Key control for retail stores

For loss prevention managers and operations directors, keys are where shrinkage, security and staff accountability meet. A key control system for retail stores replaces the key hook behind the counter with a record that stands up in an investigation.

Accountability across every shift

Store room key management accountability starts with a name on every transaction. Staff log in at the cabinet with a PIN or credential, take only the keys they’re allowed, and return them before they leave. The log shows who had the stockroom key, when, and for how long.

Stockroom, till and safe access

Set access levels so casual staff can open the stockroom, supervisors can reach the till keys, and only managers can take the safe key. The cabinet enforces those rules every time, even when the manager isn’t in the store.

Loss prevention

Key tracking for retail loss prevention gives investigators facts instead of guesses. When stock goes missing after hours, the audit log shows exactly who held the relevant key. That reduces the opportunity for internal theft and limits your liability exposure when an incident is reviewed.

Rolling out across a store network

The KeyMaaS platform is web-based, with data stored in Australia. Head office can monitor key activity and run reports for cabinets in every store from one dashboard, and reports can be emailed on a schedule to area managers. It’s a multi-site retail key system in Australia that keeps the same rules in every store.

Onboarding and offboarding staff

Users can be added through Active Directory, Azure Active Directory or CSV import. When someone leaves, removing their account removes their key access at the same time, so there are no forgotten keys walking out the door.

Key control for warehouses and industrial sites

For facilities coordinators and operations managers, key control is part of keeping people safe and sites running. An industrial key management system gives you control over equipment, restricted areas and the people who use them.

Plant rooms and equipment

Keys to plant rooms, switchboards, forklifts and machinery should only go to people trained to use them. Assign access by role, so maintenance staff can take plant room keys while warehouse staff can only take the forklifts they’re cleared to drive. Every removal is logged against the person who took the key.

High staff turnover and shift changes

Labour hire and rotating rosters make manual key registers unreliable. Automated key dispensing for industrial sites removes the paperwork. Staff collect keys at the start of a shift and return them to any open slot at the end. If a key isn’t back on time, the cabinet raises an alarm and KeyMaaS sends an email or SMS alert. That makes KeyWatcher a shift changeover key handover system that doesn’t depend on someone remembering to sign a book.

Warehouses and distribution centres

Dock doors, high-value cages, chemical stores and restricted zones all need tight control. Key management for distribution centres means knowing who opened which area and when. Warehouse key control with access logging gives you that record automatically, and an electronic key cabinet for warehouses can sit right where shifts begin.

WHS obligations

Under the model WHS laws, a business must eliminate or minimise risks to health and safety so far as is reasonably practicable. Victoria applies similar duties under its Occupational Health and Safety Act 2004. Controlling who can access hazardous plant and restricted areas is one practical way to manage those risks, and a documented key record shows how you did it. Read more about reducing risk and improving WHS through key security.

Scaling to hundreds of keys

KeyWatcher’s modular key cabinets range from 8 to 96 key locations each, with lockers and card slot modules. Link multiple cabinets to manage hundreds of keys on a large site, or across several sites from one platform.

Integration with access control and HR processes

KeyWatcher connects with more than 40 third-party systems. That includes access control platforms such as Gallagher, LenelS2, Integriti and C•CURE 9000, and contractor management platforms such as LinkSafe, Rapid and Sine. Linking user records to Active Directory keeps key access in step with your HR onboarding and offboarding process.

Ready for internal audits

Every removal, return and attempted removal is logged with the user, key, date and time. Reports export as CSV or PDF, so internal audit, loss prevention and WHS reviews get a complete key history without anyone rebuilding it from paper. Frequently asked questions

How does a multi-site retail key system work across a store network?

Each store has its own KeyWatcher cabinet, and all of them report to the web-based KeyMaaS platform. Head office can see key activity, manage users and run reports for every store from one place.

Can different staff have different levels of key access?

Yes. You set access by role or by individual. A casual might only reach the stockroom key, while a store manager can take the safe and till keys. The cabinet enforces those rules every time.

How does a key management system help with WHS compliance?

WHS laws, and Victoria’s OHS Act, require businesses to manage risks so far as is reasonably practicable. Restricting keys for plant, machinery and hazardous areas to authorised people is one way to do that, and the KeyWatcher log gives you a documented record of who accessed what and when.

What happens if a staff member leaves and doesn't return a key?

Keys are returned to the cabinet at the end of each use, so a departing staff member shouldn’t be holding one. If a key is overdue, the cabinet raises an alarm and alerts are sent by email or SMS, and the log shows who last had it. Removing the person’s user account ends their access straight away.

Can KeyWatcher manage keys across multiple warehouse sites?

Yes. Cabinets at each warehouse or distribution centre connect to KeyMaaS, so you can monitor and report on key activity across every site from one dashboard.

How does automated key dispensing work during shift changes?

Staff log in at the cabinet to collect keys at the start of a shift and return them to any open slot at the end. Overdue alerts flag any key that hasn’t come back, so the next shift starts with a full cabinet.

Does KeyWatcher provide a full audit log for internal compliance reviews?

Yes. Every removal, return and attempted removal is recorded with the user, key, date and time. Reports export as CSV or PDF and can be scheduled to arrive by email.

How does warehouse key control with access logging work?

Each key is attached to a SmartKey fob and locked in the cabinet. When an authorised user takes it, the system records who, which key and when, and logs the return the same way. That gives you a complete access history for docks, cages and restricted zones.
